Job Overview

Manage clinic patient flow through the check in and out process while providing excellent customer service to increase patient satisfaction and ensure a smooth patient flow.

Responsibilities and Duties:

Triage patients to be seen by providers which include, but are not limited to:

  • Communicating directly with patients and their needs
  • Greeting Patients: checking in, collecting copay, verifying insurance, preparing charts
  • Checking out Patients: scheduling, referring, verifying prescription based on individual needs
  • Assisting Patients to vehicle when necessary
  • Effectively process messages between patients and administration or other medical offices

Job Overview

Position requires utilization of clinical knowledge and excellent customer service skills to schedule appropriate procedures/surgeries per provider’s orders in the hospital, ambulatory
surgery center or in office places of service.

Responsibilities and Duties:

  • Initiate and follow up on precertification for commercial payers either online or by phone as per payer protocol until a determination is obtained
  • Obtain benefits and eligibility for professional fees from the insurance company and inform the patient appropriately
  • Ensure all DME and MRI/X rays/CT scans are forwarded to the facility prior to the surgery date
  • Consult with patient to schedule patient surgery and/or procedures while answering any questions as requested
  • Collect any surgery deposits and assist the patient with setting up payment plans, educate patient on financial responsibility, and inform AR team patient information and payment plan.
  • Enter the date of surgery and post operative visits in the EMR System

Job Overview

To support practice growth by managing incoming phone volume, scheduling appointments, manage incoming referrals and the fax inboxes.

Responsibilities and Duties:

  • Answer incoming calls and route them to the appropriate department

  • Schedule both new patient and follow up appointments for both commercial and legal patients. Prior to scheduling, please check the alerts for patients who should not be scheduled. Ensure the visit types, visit statuses, and facilities are correct based upon the type of patient (commercial or legal) the visit type (NP, F/U, post op, etc.), and telehealth or
    in office visit.

  • Ensure the patient brings all applicable documentation to the appointment including Med Pay policy limits and accident report for MVA, ID and insurance card for commercial insurance patients.

  • Ask if patients have imaging disks, and ask them to bring those to their scheduled visit

  • Manage all incoming referrals for both commercial and legal through the R jellybean (incoming), through the D jellybean in both fax inbox plug in and fax inbox web mode consistently throughout each day. Create the referral and make outbound calls to schedule patient appointments. Forward legal referrals to the case manager for follow up with the assigned attorney and/or case manager. If the patient does not make an appointment after 3 attempts, mark the created referral addressed.

  • Route all non-referral faxes received in the fax inbox lug in and web mode to the appropriate staff member internally consistently throughout the day

  • Check voicemail and return calls consistently throughout the day

  • For FMLA/LOA paperwork received by fax, scan into the patient’s chart in the FMLA/Disability folder. Send an action to Kristen, attach the document, time stamp and add a comment letting her know whether payment has been received in advance

  • Fax treatment notes to either attorney offices or referring physicians on a weekly basis for the previous week visits

SUMMARY

Anticipates the needs of the surgical team. Establishes and maintains sterile field during surgical procedures in the operating room.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Prepares of the operative suite and surgical field to ensure a safe patient care environment while being vigilant for the maintenance of the sterile field and other patient safety concerns.
  • Assists in supporting surgeries through efficient tray set-up and autoclaving instruments.
  • Anticipates the needs of the surgeon and assists the medical staff as well as the anesthesia provider as needed.
  • Ensures sterility of all supplies and instruments during set up of surgical procedures.

Definition of Position

Provides ongoing assessment and nursing care to patients in the facility in accordance with Physician’s orders, policies, procedures and processes within the scope of practice. Participates in the teaching of patients and family and provides leadership by working cooperatively with the other health care team members.   • Communicate with law offices, Marketing Director and other areas of the practice needed in scheduling patients with the requested physician.

  • Collect new patient demographics and medical records if necessary
  • Verify health insurance when necessary
  • Maintain a calm demeanor under pressure while emergency patient appointments need to be scheduled under time constraint

Job Overview

Ensure all incoming referrals are processed timely, all cases are followed through to treatment discharge while providing a high level of customer service to patients, and all incoming referral sources, i.e. physicians, attorney offices, funding companies, and Workman’s Comp case managers.

Responsibilities and Duties:

  • Prior to the initial outreach, review the patient’s chart to ensure all required information has been entered. Notate any missing information to request from the referral source.
  • Initiate an introductory call with the referral source, notifying them of the patient’s upcoming scheduled appointment, provide your contact information as the Legacy single point of contact, obtain the source point of contact, along with any other required information, i.e., policy limits (deck page from insurance if available) and date of injury.
  • Create the “case manager” record in EClinicalWorks.
  • An attorney lien must be signed by the first scheduled appointment and scanned into EClinicalWorks with all other pertinent case documentation to close the intake process.
  • For patients requiring transportation, enter a calendar invite to the front office staff to arrange transportation both to and from the appointment.
  • After each visit, communicate the visit outcome and treatment plan to the referral source contact. Obtain any approvals for recommended testing, procedures, and imaging.
  • Once the patient has been discharged from treatment, the case will be forwarded to the internal Legacy Medical Records Department for bills and records to be sent to the referral source for payment. Review each case at a minimum once per month to ensure case is current and still treating. If not, please notify Legacy billing so they can begin their payment demand process.

Job Overview

Position requires utilization of clinical knowledge and excellent customer service skills to schedule appropriate procedures/surgeries per provider’s orders in the hospital, ambulatory
surgery center or in office places of service.

Responsibilities and Duties:

  • Initiate and follow up on precertification for commercial payers either online or by phone as per payer protocol until a determination is obtained
  • Obtain benefits and eligibility for professional fees from the insurance company and inform the patient appropriately
  • Ensure all DME and MRI/X rays/CT scans are forwarded to the facility prior to the surgery date
  • Consult with patient to schedule patient surgery and/or procedures while answering any questions as requested
  • Collect any surgery deposits and assist the patient with setting up payment plans, educate patient on financial responsibility, and inform AR team patient information and payment plan.
  • Enter the date of surgery and post operative visits in the EMR System
  • Email a surgery packet to the patient including pre-op and surgery instructions, post op appointment, reminder of any balances to be collected prior to the surgery date, attach both the surgery handbook and facility information
  • Consolidate surgery packet and forward to facility scheduled for procedure
  • Coordinate COVID-19 test for non-vaccinated patients
  • Coordinate surgery with other physicians and vendors
  • Assisting in preop for medical clearance for scheduled procedure

Duties:

  • Assisting with the process of recruitment, including vetting candidates, assisting with interviews, and issuing employment contracts
  • Working closely with the Human Resources Director to maintain the candidate database and handling any relevant paperwork.
  • Preparing and posting job openings through various platformsPresenting as a company rep
  • resentative for potential candidates at carrier fairs, job boards, schools, or other recruiting firms.
  • Coordinating logistics for new employee onboarding events with any pre-employment screenings, training sessions, department heads and/or IT department.

Job Overview

To support practice growth by managing incoming phone volume, scheduling appointments, manage incoming referrals and the fax inboxes.

Responsibilities and Duties:

  • Answer incoming calls and route them to the appropriate department

  • Schedule both new patient and follow up appointments for both commercial and legal patients. Prior to scheduling, please check the alerts for patients who should not be scheduled. Ensure the visit types, visit statuses, and facilities are correct based upon the type of patient (commercial or legal) the visit type (NP, F/U, post op, etc.), and telehealth or
    in office visit.

  • Ensure the patient brings all applicable documentation to the appointment including Med Pay policy limits and accident report for MVA, ID and insurance card for commercial insurance patients.

  • Ask if patients have imaging disks, and ask them to bring those to their scheduled visit

  • Manage all incoming referrals for both commercial and legal through the R jellybean (incoming), through the D jellybean in both fax inbox plug in and fax inbox web mode consistently throughout each day. Create the referral and make outbound calls to schedule patient appointments. Forward legal referrals to the case manager for follow up with the assigned attorney and/or case manager. If the patient does not make an appointment after 3 attempts, mark the created referral addressed.

  • Route all non-referral faxes received in the fax inbox lug in and web mode to the appropriate staff member internally consistently throughout the day

  • Check voicemail and return calls consistently throughout the day

  • For FMLA/LOA paperwork received by fax, scan into the patient’s chart in the FMLA/Disability folder. Send an action to Kristen, attach the document, time stamp and add a comment letting her know whether payment has been received in advance

  • Fax treatment notes to either attorney offices or referring physicians on a weekly basis for the previous week visits

Definition of Position

Provides ongoing assessment and nursing care to patients in the facility in accordance with Physician’s orders, policies, procedures and processes within the scope of practice. Participates in the teaching of patients and family and provides leadership by working cooperatively with the other health care team members. Collaborates with physicians and team members to assess, plan, implement and evaluate patient care. Maintains standards for professional nursing practice in the clinical setting.

The ASC RN may act as the interim Nurse Manager in the absence of the Nurse Manager as designated by the Governing Board.

  • Assist referred clients from healthcare physicians, law firm, funding companies by scheduling appointments through EClinicalWorks
  • Communicate with law offices, Marketing Director and other areas of the practice needed in scheduling patients with the requested physician.
  • Track requests by phones, emails, fax, and Referral MD
  • Collect new patient demographics and medical records if necessary
  • Verify health insurance when necessary
  • Maintain a calm demeanor under pressure while emergency patient appointments need to be scheduled under time constraint
  • Adaptable in scheduling/ rescheduling patients under correct appointment types
  • Documenting all encounters in patient accounts
  • Complete other infrequent tasks performed due to changes in process or structure.

Qualifications:

  • EMR scheduling- EClinicalWorks required
  • Personal Injury background
  • Proficient in typing (40 wpm)
  • Customer Service
  • Bilingual (in Spanish) preferred but not required
  • Outstanding verbal and written communication skills
  • Able to work in a fast paced, high-volume practice
